Receptionist, Part-time

Part-time Receptionist. Operates multi-line telephone system to answer incoming calls and directs visitors and callers to appropriate personnel; provides administrative support to HR and other departments. This is a shared position with the hours being 7:45 am - 12:00 pm, Monday-Friday.

ESSENTIAL DUTIES AND RESPONSIBILITIES include, but are not limited to the following:

Opens up and unlocks the front doors and lobby entrance.

Retrieves messages from voice mail and forwards to appropriate personnel.

Answers incoming telephone calls, determines purpose of callers, and forwards calls to appropriate personnel. pages, transfers, etc.

Takes and delivers messages or transfers calls to voice mail when appropriate personnel are unavailable.

Answers questions about organization and provides callers with address, directions, and other information.

Welcomes on-site visitors, determines nature of business, and announces visitors to appropriate personnel.

Monitors visitor access and guest sign in log at front desk.

Changes the welcome sign at front desk for various meetings, as necessary.

Direct delivery personnel to the correct location.

Responsible for ordering general office supplies, coffee supplies and specialized office products from vendors other than general office supply vendor, ordering a monthly birthday cake.

Responsible for clean up and tidiness of lobby area, decorating for holidays, etc.

Performs administrative duties as needed to HR and other departments (such as PowerPoint presentations for on-going meetings, creative development of internal newsletters from HR using Publisher, light data entry, filing, letters, etc.).

QUALIFICATIONS that we feel the successful candidate must have:

3 years experience as Receptionist using multi-line phone system and performing general office/administrative duties.

TECHNOLOGY: Multi-Line phone system; Intermediate skill level with Microsoft Outlook, Word, Excel, PowerPoint, Publisher and Internet Explorer.

Excellent interpersonal skills; has a "can-do" spirit; ability to multi-task and help out with extra work in both a fast-paced or slow environment.

Flexibility to work additional hours/days if other Receptionist is sick, on vacation, etc.

Proven record of outstanding attendance; no tardiness.

Ability to appropriately handle highly confidential work.
